This notice explains what information BRT Accommodation Partners ("we", "us") collects through this website, why we collect it and what your rights are under UK data protection law.
Who we are
BRT Accommodation Partners is a business trading name. We source group, project and extended-stay accommodation across the UK, working with organisations that need accommodation and the providers who offer it. We are responsible for the personal information described in this notice. You can contact us about it at hello@brtaccommodation.com.
What we collect
When you send an enquiry through one of our forms, we collect:
- your name, work email address and organisation
- your job title and phone number, if you choose to give them
- for accommodation requirements: destination, dates, number of guests and rooms, budget and any requirements you describe
- for provider enquiries: property location, type, size, typical availability and the details you share about your property or portfolio
If you email us directly, we receive whatever information you include in your email.
This website does not use cookies or tracking tools to follow your browsing.
How we use it
We use your information only to reply to your enquiry and, where it leads to one, to discuss and manage a working relationship with you or your organisation. We do not sell your information or use it for unrelated marketing.
Our lawful basis is our legitimate interest in responding to business enquiries and developing business relationships, or taking steps at your request before entering into a contract.
Who we share it with
We use a small number of trusted service providers to run our business:
- Form delivery: a form service passes your enquiry from the website to our email inbox.
- Email: our email provider stores our messages.
- Website hosting: our hosting provider serves this website.
Some of these providers may process data outside the UK. Where they do, we rely on the safeguards UK law requires, such as adequacy regulations or standard contractual clauses.
To source accommodation for a requirement, we may share the relevant booking details (such as destination, dates and group size) with suitable accommodation providers. We will tell you before we share your contact details with a provider or organisation.
How long we keep it
We keep enquiry details for as long as we need them to deal with your enquiry. If no working relationship follows, we delete them within two years. If we do work together, we keep records for as long as the relationship continues and for any period required by law afterwards.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct or delete it
- object to or ask us to restrict how we use it

If you're unhappy with how we've handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

We may update this notice from time to time. The date at the top shows when it was last changed.
